The
Scottsdale Plaza Resort was the stunning setting for the Genesys 22nd
Annual HRMS Conference, held September 8-11, 2002.
Workshops
Over
50 individuals took advantage of the educational opportunities available
at this year's Pre-Conference Workshops. Undoubtedly, the most popular
workshop was 'Hands-on Version 6.1 Training' which, due to overwhelming
response, required the addition of a second session, held Sunday afternoon.
This was a first in Conference history... a Pre-Conference Workshop
that was so popular that it reached maximum capacity and necessitated
the scheduling of another session! The remaining workshops -- Introduction to Genesys, GenTools:
Tips and Techniques, and Building Web Pages -- were also well attended.
Keynote Speakers
John
Cassis, our opening keynote speaker, who focused on the theme "The
Game Has Changed," certainly lived up to his reputation as a motivational
speaker. Mr. Cassis delighted the audience with a
variety of anecdotes and personal experiences. It was easy to see
why the Chicago Bears recruited John to be their pre-game inspirational
speaker for more than a decade -- he certainly inspired conference attendees. Tuesday's
luncheon keynote speaker was Russ Ruggia, of Microsoft, who provided
details on Microsoft's .NET strategy. It was exciting to hear how
this latest .NET technology will open up the lines of communication
for both PC and mobile device clients.
Varied Sessions
This year's conference featured a total of 42 sessions, dispersed across three specialized tracks: Business, Technical, and Product & Service. In addition, 15 theater sessions included several presentations by Genesys partners. There are so many sessions, covering a variety of topics, that it's obvious why so many Genesys clients opt to send several representatives to conference. One person couldn't possibly gather all the information that's available.

Thanks to Chris' technical knowledge and tireless efforts, the Clerk of the Circuit Court at Hillsborough now has a full suite of enhancements in progress, including WEBWorks, WEBServe and PeopleComeFirst.
- The Lands' End Team for PeopleComeFirst
To the team of Tom Gloudeman, Pam Peterson, Jill Liegel, Mary Flaker, Robin Wendt, Diane Reuter, Peggy Perry, Arlen Forsch, Jean Burke, Corrina Mott, Deb Landon, and Sandi Grimm for successfully completing the beta test and rollout of the PeopleComeFirst Learning Management System.

For his hands-on involvement in promoting both awareness and advancement
of the Genesys application within EMI. Ed managed the migration
of EMI to an NT processing environment and he managed the analysis
of using Genesys as an HR solution throughout EMI.

| Preparing for Year-end |
Year-end
preparation can be quite involved, but by planning ahead, allocating
resources, and staying on schedule, the year-end process can be performed
smoothly. In addition, remember that Genesys is available to assist
wherever needed. In an effort to help you prepare for year-end, this
section addresses the following questions: When
will the year-end release be issued?, When
will year-end training be held?, Does Genesys
produce year-end forms?, Will Genesys help
its customers with their year-end processing?, and Can
Genesys help its customers prepare for 2003? Please read on for
details.
When will the year-end release be issued?
Below are the scheduled release dates for the remaining 2002 releases.
- November 29 - 4th Quarter Release
- November 29 - Deliver Year-End Subsystem
- December 6 - Federal and State Withholding
- December 13, 20 - Additional State Releases (as needed)
- December 6 - Canadian/CPP/QPP/UIC Release
- December 30 - Canadian Year-End Subsystem
When will year-end training be held?
This year, Genesys will optimize Web technology and present all year-end
classes as web-based classes, hosted via e-Town Meetings. All classes
will be held in November and each session is scheduled to begin at
2:00 PM, eastern time. Scheduled class dates are highlighted below.
Please note that there are specific training dates for both software

Does Genesys produce year-end forms?
Yes, Genesys offers two options when it comes to producing year-end forms: printed forms and online delivery of forms.
Printed Service
The Year End Services (YES) program provides laser printing and processing of W2s, 1099s, and other year-end forms for organizations that need help with these time and resource consuming annual tasks. Genesys pledges punctual delivery of correct year-end payroll forms into employees' (and retirees') hands.
With YES, the experts at Genesys will:
- Produce and distribute W2 and 1099 forms affordably and on time
- Laser print all employees' forms, crisply and clearly, on self-mailers
- Accept easily formatted output files directly from your payroll system
- Mail these forms directly to employees and retirees or, if requested, return the forms to the employer for distribution
The Genesys YES program also offers a range of optional services, including:
- Hard copies and/or files on tape for any and all taxing authorities: federal IRS/SSA; state; and/or local
- IRS W2C (corrected W2) forms
- CD-ROM output, for easy storage/retrieval
- Special mail handling to ensure prompt delivery
All printing is done with laser technology, so all copies are 100% clear and legible for both employees/pensioners and government regulators. All output is handled in the high-volume Genesys production facility, with utmost attention to privacy and security over confidential payroll information. Genesys attends to every production detail to ensure that printouts are always complete and correct (according to input), shipped on time, and delivered exactly as requested.
Online Delivery Service
Genesys
makes online delivery of tax forms available through its self-service
application, WEBServe. W2s and other tax forms are produced
in Adobe Acrobat PDF format, which can then be viewed from any desktop,
via a browser. Naturally, all online delivery adheres to the strictest
security.
Employees who utilize this WEBServe feature will appreciate the following benefits:
- Immediate delivery of W2s eliminates wait time for mailed forms
- W2s accessible at desktop
- View and print W2s, W2Cs, 1099s, etc.
- Eliminates lost or destroyed mailed forms
- Ability to print unlimited number of copies
Benefits to the organization include:
- Elimination of annual W2 hassles
- Elimination of postage, forms, and manual labor expenses
- Elimination of rework and costs associated with incorrectly addressed forms
- Reduced/eliminated W2 related phone support
Beginning
with the upcoming tax season, all Genesys Outsourcing customers will
also reap the rewards of online delivery of W2s. Beginning this tax
season, Genesys Outsourcing clients will receive their W2s and their
year-end reports, online, as well as on paper.
Will
Genesys help its customers with their year-end processing?
Genesys Professional Services is pleased to offer the Year-end Processing Assistance Program - a program designed to help you alleviate end-of-year processing pressures. These services are of particular importance during that critical time period from November 2002 through February 2003 when you need to close out the old year and prepare for the new.
Our Genesys consultants can help you to produce your organization's W2, 1099, and T4 forms, as well as assist with other year-end processing demands. In fact, we can take complete charge of producing your year-end forms and reports. This service will provide you with more time to focus on all those other year-end tasks that demand your attention. If you need assistance in applying releases, we can support you in this effort as well.
You can choose a 5, 10, 15 or 20 day package, depending upon the amount of assistance required. Whichever package you select, a Genesys consultant will be available during the agreed upon schedule to assist with your year-end processing tasks. The Genesys consultant can:
- Apply year-end subsystem changes
- Prepare test runs for printing W2, 1099, and T4 forms
- Compare last year's processing requirements to current year's requirements
- Review data and perform other site-specific requirements
- Complete year-end testing
- Organize final year-end processing and assist with first of the year tax releases and payroll runs
- Process W2, 1099, and T4 forms
- Assist with file creation for individual states
- Apply tax releases for 2003 processing

| Payroll Tax Filing Service |
Genesys
is pleased to announce the introduction of the Genesys Tax Filing
Service, a comprehensive payroll tax filing service for all Genesys clients. All tax filing services will be processed
at the Genesys data processing center, located in Methuen, MA, which
features extensive security, backup, and redundant systems.
The Genesys Tax Filing Service supports all local, state, and federal tax jurisdictions within the United States and its territories. The service also handles school district taxes, occupational privilege taxes, and special assessments at the city and county levels.
The Genesys Tax Filing Service includes all facets of payroll tax processing, including:
- Collection and consolidation of tax data from all corporate locations.
- Deposit of federal, state, and local payroll taxes.
- Preparation and filing of all payroll tax returns.
- Ongoing legislative research to monitor changing tax regulations for local, state, and federal jurisdictions.
Costs
for the service are determined by the number of tax jurisdictions,
size of the payroll, and number of federal employer identification
numbers (FEIN) used by the organization.

Issuing Messages on Paychecks
Did
you know that you can insert a 60-character message on employees'
checks? This is a feature within your Payroll System and it's easy
to use. It's also very convenient for broadcasting messages to any
or all groups on payday. In fact, you can create up to five, 60-character messages, any one of which you can select for printing. For example, you could create the message, "Don't Forget Daylight Savings Ends Oct. 27" by following the instructions below.
- On the Check Messages screen, in the Group Key field, enter the key for the group you are updating.
- In the Message Number field, identify the number of the check message. There are up to five 2-part messages.
- In the Text field, enter up to five 2-part messages. You can then select one message to print on participant checks. Each part of the message can contain up to 30 characters, for a total of 60 characters per message.
Note that even though messages are entered on the group record, actual printing is controlled at the participant-level by the check message field.

Predictable Costs with LMS Leasing
Mike
Parent, Genesys Regional Sales Manager, was recently featured in Online
Learning E-Reviews where he was asked about the costs associated with
leasing a learning management system. Mike stated that leasing --
using a hosted service -- has the following benefits:
- Predictable costs. Monthly fees are based on quantifiable,
predictable factors. Leasing means you can accurately
budget application costs and do not have to worry about contingency
costs, such as equipment failure.
- Faster implementation and less staff training. A hosted service
means your company does not have to worry about any upfront infrastructure
investments.
- Less impact on IT staff. Your IT department likely has more than it can do already. By using a hosting service, your company is not adding even more maintenance and support work to the IT to-do list.
- Security. Hosting services have redundant processing capabilities and industrial-strength firewalls and other security precautions. Most regular companies don't.

Best Wishes to a Longtime Friend
We would like to take a moment to acknowledge a remarkable woman... Mary Pope, of Bank of Oklahoma. Mary has been an employee with BOK for many, many years and a Genesys user for most of that time. Through the years, Mary has been a staunch supporter of Genesys, a regular attendee at Conference, and a member of President's Council. Mary is retiring and we wish her many years of continued good health, happiness, and total relaxation! It was always a pleasure working with Mary and she will be missed.
At this year's conference, Mary shared with us a copy of a 1988 Genesys newsletter (yes, our newsletters have been around for THAT long!) that she's kept.
